Introduction
Scheduling a report is the recommended solution when you want to run reports that have more than 500 lines. Running "heavy" reports in the foreground can lead to system time-outs, because of the large number of items that the finished report will contain. The screenshots below illustrate a heavy report being submitted for processing in the foreground and the time-out system error it generates.
How to schedule a standard report
After setting up all the parameters in the report you want to create, please scroll down to the Schedule CSV Reporting section.
This section contains two key parameters:
-
Mail to - it is a semicolon-separated list containing the email addresses of all those who will receive the finished report
-
Frequency - it indicates when the report will be delivered to the email addresses included in the Mail To field
1. One time report
If you want to generate a simple, one-time report, then please include your email address in the Mail To field and set the frequency to Within 30 minutes. You can also add the email(s) of other colleagues, by using the ; separator.
You can easily execute the same report again in the future. The document will appear in the My Reporting Templates section and you can run it anytime you want.
In case you did not receive your scheduled report via email within 1 hour of submitting it, please contact the Service Delivery team.
2. Recurrent report
You can use this setting if you are, for example, an accountant in your company and you want to receive a financial report containing all settlement transactions from the previous month, on the 2nd of every month. By using this option, you can schedule a recurring report without having to run it manually every month.
-
Set a dynamic period for your report. In our example, we chose Last Full Month.
-
Input a name for your report
-
Set a distribution list
-
Set a frequency. In our example, we chose Every 2nd of the month and then click on the Save button.
-
Click on Save to store your report. It will then be delivered to you regularly, based on the preferences you have selected.
Note: The recurring report will also appear in the My Reporting Templates section, in case you want to edit it (add more email addresses to distribution list, change the period or frequency, etc.).
