First, select the Expenses tab, and then either click on "New Expenses" in the sidebar navigation, or on the "Add Expenses" button in the dashboard.
Second, Provide all the details of your expense in the New Expense form. Note that the highlighted fields are mandatory information that you must fill in in order to submit your expense.
Depending on your company settings, user policy, and chosen expense category, you may be required to fill in additional, optional, or mandatory fields (for example, attendees, or supplier information).
Depending on your company’s settings, the VAT rate and amount can appear as well.
Once you have filled in all the details, you can either:
Simply save the expense by clicking on the Save button. Note that saving an expense doesn't automatically submit it for you. Once you have saved an expense, you will need to insert it into an expense report, and submit that report.
Save the expense and insert it into an existing report.
Last but not least, save the expense and directly start creating a similar expense. To do this, click on the arrow next to the Save button and select this option. This is particularly useful and will make your life a lot easier whenever you made the same expense on different dates for example!
Most common fields
Date | The date of transaction. This date must match the date in the attached receipt. Enter the date by selecting the date from the calendar or by typing the date directly in the date field. |
Category | Select the category under which to file your expense. |
Country | The country in which the expense was incurred. Type the name of the country in the box or click the country name from the list. |
Gross amount | Type the total amount of your expense. The amount should not exceed the amount on the receipt(s). |
Quantity | Depending on the expense category, use this field to calculate the unit price of your expense. The default value of this field is 1. |
Currency | Select the currency your expense was made in. By default, the currency field is auto-populated based on the selected country. The daily currency exchange rate is displayed on the right of the page. If you enter the amount in any currency other than the one in which your company operates, it is converted to the designated currency for settlement. |
Comment | Use this field to provide approvers or controllers with useful or necessary information about the expense. |
Indicate with this control whether the expense is a business or private expense. |
